Who we are
Powell Finance LLC, doing business as Powell Finance & Income (“PowellFI,” “we,” “us”), is a California-based accounting services firm. This privacy policy applies to the internal software applications operated by PowellFI (together, “the Apps”). The Apps include the PowellFI MCP Server (our internal accounting-integration gateway), Book-Line (a private Google Workspace add-on used for the firm’s QuickBooks work), and any future internal applications PowellFI operates. The Apps connect our accounting workflows to Intuit QuickBooks Online and other business systems on behalf of PowellFI and its clients.
Scope
The Apps are private, internal-use applications. They are not offered to the public, have no public user registration, and are not made available to any end user outside of Powell Finance LLC. Where an App is distributed through a third-party marketplace (for example, a private Google Workspace Marketplace listing), that distribution is restricted to authorized Powell Finance LLC personnel. The Apps are operated solely by authorized PowellFI personnel.
What data the Apps handle
The Apps access data from Intuit QuickBooks Online on behalf of QuickBooks Online company files that PowellFI has been explicitly authorized to access by each company’s account holder. Data accessed may include, without limitation: customer records, vendor records, invoices, bills, payments, journal entries, chart-of-accounts data, inventory items, and related financial records.
The Apps may also handle data from other business systems that PowellFI has authorized for internal integration, including (but not limited to) Google Workspace, Missive email, Stripe payments, and PandaDoc documents. Data from each external system is accessed only under explicit authorization from the account holder of that system.
The Apps do not collect personal data from public website visitors or from any member of the public.
How we use the data
Data accessed through the Apps is used exclusively to perform accounting, bookkeeping, and related professional services that PowellFI has been engaged to provide by its clients. No data accessed through the Apps is used for any purpose outside of those professional services.
How we share the data
We do not sell, rent, trade, or otherwise share data accessed through the Apps with any third party. Data remains within Powell Finance LLC’s internal operations and is accessed only by authorized PowellFI personnel. The only external parties that receive data through the course of normal operation are the source systems themselves (for example, QuickBooks Online, when our tools read from or write back to a client’s QuickBooks file under that client’s authorization).
How we store and secure the data
The Apps run on infrastructure operated by or on behalf of Powell Finance LLC. Authentication credentials used by the Apps are stored securely, encrypted at rest, and never transmitted to any party other than the originating source system (for example, Intuit) during the normal course of an API call. Access to the systems running the Apps is gated through access-controlled infrastructure and restricted to authorized PowellFI personnel.
How long we retain the data
Data accessed through the Apps is not retained by the Apps themselves beyond the duration of the immediate operation requested. The Apps do not maintain a persistent store of client financial records; they read from and write to the source systems in real time under authorization. PowellFI retains records of its own professional services work in accordance with applicable California and federal recordkeeping requirements, independent of the Apps.
Your rights under California law
If you are a California resident and believe your personal information may have been accessed or processed by the Apps in the course of PowellFI’s services to a client engagement that involves you, you have rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including the right to know, the right to delete, the right to correct, and the right to opt out of sale or sharing of personal information. Changes to this policy
We may update this privacy policy from time to time. The “Effective date” above reflects the most recent version. Changes take effect upon posting.
